-8:30am arrival for adult volunteers & counselors
-9am will be the talk with the parents, MEBO President will give a short introduction
-SignUp Genius will be created for donations of fruit and desserts to compliment the pizza lunch.
-Will people donate items to stuff the string backpacks we give out? We'd need 35 of each item.
-Gayle will bring pizza and water. Arnika will bring sodas.
-If transportation isn't available to talk, there will be preprinted cards to hand out.

-Core Values Assembly on April 26th, requests that MEBO donate $200 for this event.

-Open House attendance for 2017 was discussed. Sign-in sheets should indicate which school the child is coming from for contact purposes. The Format of the acceptance letter should give lots of white space around Open House date and Snow Date. In the event there is a need for a Snow Date, the counselor at each of the schools should be contacted to give notice to the families ahead of time as a reminder.

-Schedules for next years’ coursework have been sent out.

-Several Field Trips are coming up.
-LEGO Robotics units purchased by MEBO are only for use by CBG due to the responsibility imposed with the supervision of materials by teachers. We discussed ensuring the 8th graders have priority to experience using them, then the 7th graders and 6th graders.

-An additional $225 was donated, so we were able to make our goal of $2,000 for our fundraiser!

Movie days on half days any children left at the end of the day will wait with administration

12/05/16 MEBO Meeting called to order at 2:15 pm

CBG coordinator -Mr Fohl
Open House for the CBG on January 10 th at 600pm . Student volunteers to be present at 530 pm . The list of teachers that will attend will be sent to Melinda . There will be several rotations set-up with teachers and students to ask questions .Dinner will be provided for teachers before the event . MEBO board and members will be hosting the open house. The library will be the location where any generalized questions can be asked . A representative from transportation will be there to answers any questions The last session will be in the cafeteria and will wrap up around 800 pm .Cookies and punch will be provided. The rotations should run 25 minutes each . A request has been made that a book for the leadership program be bought through MEBO .Ms Charters and Ms Green is developing the leadership program from scratch . Gayle Ballard motion to purchase the book and Kelley Longacre second the motion .All members approved .

As of now the direct fundraiser for MEBO has raised 1,800 . The goal is 2,000 for the fundraiser ,it is ongoing .
Will not be doing grab bags in December The NHS is selling candy Grams .The grab bags will be revisited in the Spring .

Leadership Book will cost $32.90 vote for purchase has been approved
Would like to discuss getting rid of the P.O. box paying 40.00 dollars annually. The majority of items are sent to the school. Will talk to the office staff and Jen S.
Gayle Ballard motions to close the P.O. box at the end of the school year . Paula Graham seconds the motion. All members present approves the motion.
Hospitality -Kelley Longacre
MEBO social activities survey was sent out to the students. They surveyed what they liked and didn't like on the last social event . There was many social activities recommended by the students. The information will be taken into consideration .

Melinda constructed a student representative guideline for the MEBO meetings The guidelines were passes out and asked to go over and resubmit back to Melinda by Dec.16 . She will look over recommendations and make any changes needed.
Melinda has set up social dates during Holiday break ?
Teacher Rep was unable to attend . Ms McNeely was out sick . Mr.Fohl CBG coordinator was present but had to leave early for another meeting .

11/14/16 MEBO Meeting began at 2:18pm

-MEBO needs administration to decide on dates for Mystery Grab Bag sales and distribution for December. When dates are decided upon, we'd like administration to allow us to have this event on the daily announcements in the week leading up to the events.

1.) December 1st is the deadline for applying to all High School Specialty Center programs. The recommendations for Governor Schools are due then as well, but the deadline for the recommendations for other programs is in January.
2.) The CBG directory was send out on October 31st and the revised list was send out on November 9th.
3.) Open House for CBG's rising 6th graders will be January 10th at 6pm and the snow-date is January 31st at 6pm. It would be valuable to have a MEBO table set up for taking questions, as well as a Sign-up list at each teacher's room for parents to get early emails about MEBO. Social Committee will provide a meal for teachers and refreshments for the students

(She noted that teachers have meetings on even days, but a schedule has been worked out going forward for teachers to attend the MEBO meetings.)

1.) Direct Drive results: $1,710 counted at this meeting all the funds received (last year at this time, about $700, detail offered by Kelly from 2015 minutes)
Because the drive is successful so far, we will not put out a second notice to reach our goal ($2,000) until January.
2.) Mystery Grab Bags donations will start next week or directly after Thanksgiving Break. A donation box will be placed in the teacher's lounge, a Sign-Up Genius request will be sent out along with a paper notice through students. Kelly offered a copy of a previous Sign-Up she had created to suggest items for donation.

1.) Budget for 2016-2017: Motion offered by Gayle to accept the budget as presented at the meeting. Second by Melinda. Discussion of changes to the budget show that specific allocations for Hospitality events were broken out, Spring Class Reunion donation funds were reduced to $50/year. The vote was 6 in favor, 0 opposed, of MEBO members.
2.) Robotics LEGO kit: With the MEBO bank account at $8,534.47 and budget allocation for Program/Materials at $5,000, the motion was offered by Melinda to authorize Matoaca Middle to purchase 8 units of EV3 LEGO Robotics and accessories not to exceed the reimbursement of $4,000. Teachers were trained on using these units this summer which include mathematics, architecture, and coding in hands-on applications. The motion was seconded and after discussion, the vote was 6 in favor, 0 opposed, to authorizing the purchase.
Social Hospitality: Kelly Longacre, Gayle Ballard (Leigh Scott)
1.) Candygrams "Boograms" wrap-up: Sales were steady the two days offered and were largely purchased by 6th and 7th grade girls. We made $38.56 off the sales so it was both a slight fundraiser as well as a social event. It was discussed that we plan to do this again for Valentine's Day and perhaps offer carnations/roses as part of the sale.
2.) Kelly created "MEBO Social Activities Survey" and provided a Results Overview. A paper copy was provided. A quick summary was that 88 students responded, and 53 claim to have attended the Doughnut Decorating Social on 9/30/16. Generally, most students like the events and some constructive criticism included the need for more food at the events, better supervision to prevent negative behaviors, and many comments about what events they would like to participate in the future.

1.)At the December meeting, 12/5/16, we will discuss going forth with the creation of Student Representative position for students to attend our meetings for the purpose of providing input and assistance with social events. This position is in allignment with the Leadership program the students are learning in ACE.
2.)At our next meeting, we will also decide on a social event that is outside the school during Winter Break to be coordinated with Sign-Up Genius, but MEBO will be the organizing institution for the event as we will not collect money or provide supervision.

1.) December 1st is the deadline for applying to all High School Specialty Center programs. The recommendations for Governor Schools are due then as well, but the deadline for the recommendations for other programs is in January.
2.) The CBG directory was send out on October 31st and the revised list was send out on November 9th.
3.) Open House for CBG's rising 6th graders will be January 10th at 6pm and the snow-date is January 31st at 6pm. It would be valuable to have a MEBO table set up for taking questions, as well as a Sign-up list at each teacher's room for parents to get early emails about MEBO. Social Committee will provide a meal for teachers and refreshments for the students

1.) Direct Drive results: $1,710 counted at this meeting all the funds received (last year at this time, about $700, detail offered by Kelly from 2015 minutes)
Because the drive is successful so far, we will not put out a second notice to reach our goal ($2,000) until January.
2.) Mystery Grab Bags donations will start next week or directly after Thanksgiving Break. A donation box will be placed in the teacher's lounge, a Sign-Up Genius request will be sent out along with a paper notice through students. Kelly offered a copy of a previous Sign-Up she had created to suggest items for donation.
Treasurer: Gayle Ballard
1.) Budget for 2016-2017: Motion offered by Gayle to accept the budget as presented at the meeting. Second by Melinda. Discussion of changes to the budget show that specific allocations for Hospitality events were broken out, Spring Class Reunion donation funds were reduced to $50/year. The vote was 6 in favor, 0 opposed, of MEBO members.
2.) Robotics LEGO kit: With the MEBO bank account at $8,534.47 and budget allocation for Program/Materials at $5,000, the motion was offered by Melinda to authorize Matoaca Middle to purchase 8 units of EV3 LEGO Robotics and accessories not to exceed the reimbursement of $4,000. Teachers were trained on using these units this summer which include mathematics, architecture, and coding in hands-on applications. The motion was seconded and after discussion, the vote was 6 in favor, 0 opposed, to authorizing the purchase.
Social Hospitality: Kelly Longacre, Gayle Ballard (Leigh Scott)
1.) Candygrams "Boograms" wrap-up: Sales were steady the two days offered and were largely purchased by 6th and 7th grade girls. We made $38.56 off the sales so it was both a slight fundraiser as well as a social event. It was discussed that we plan to do this again for Valentine's Day and perhaps offer carnations/roses as part of the sale.
2.) Kelly created "MEBO Social Activities Survey" and provided a Results Overview. A paper copy was provided. A quick summary was that 88 students responded, and 53 claim to have attended the Doughnut Decorating Social on 9/30/16. Generally, most students like the events and some constructive criticism included the need for more food at the events, better supervision to prevent negative behaviors, and many comments about what events they would like to participate in the future.

1.)At the December meeting, 12/5/16, we will discuss going forth with the creation of Student Representative position for students to attend our meetings for the purpose of providing input and assistance with social events. This position is in allignment with the Leadership program the students are learning in ACE.
2.)At our next meeting, we will also decide on a social event that is outside the school during Winter Break to be coordinated with Sign-Up Genius, but MEBO will be the organizing institution for the event as we will not collect money or provide supervision.

-Ask ACE teachers to remind students about Mystery Grab Bag sales when the dates are determined by administration.
-Ask teachers if they will plan to eat the dinner MEBO provides for Open House on January 10th so we plan appropriately. Also, we want to know what kind of food they would like so that could be taken into consideration.
